Frequently asked questions
Platform
What is Nem?
Nem is a HIPAA-oriented, AI-native practice management platform for US and Canadian dental, medical and mental-health clinics. It combines an AI Voice Agent with patient records, scheduling, billing, assets and chronic care management in one system, so your front office and records stay in sync.
What does Nem replace?
Nem replaces the patchwork most clinics run: a separate phone/answering service, scheduling tool, billing and invoicing, and care-management spreadsheets. Running them as one platform removes the double data entry and disconnected systems that drive front-desk overload and errors.
Do my patients need to download an app or log into a portal?
No. Patients simply call your existing number and the Voice Agent answers; reminders and confirmations go out by text and email. There is no separate patient app or portal to install or manage.
Does Nem support multiple locations and providers?
Yes. Nem is multi-location by design (an organization can hold many clinics), with per-provider schedules and per-location settings. Pricing is per location rather than per provider, so adding front-desk and support staff does not increase your bill.
AI Voice Agent
What can the AI Voice Agent do?
Nem’s Voice Agent answers inbound calls and can book, reschedule and cancel appointments, answer billing and insurance-status questions, and take messages. It works around the clock, so calls that arrive after hours or while the line is busy are still captured rather than lost to voicemail.
Will it transfer the call to a real person when needed?
Yes. The agent is scope-limited to front-desk tasks. Anything outside that scope, or any clinical question, is routed to your staff based on rules you set, and it hard-refuses to give medical advice, diagnoses or chart interpretation.
Is the Voice Agent safe with patient information?
Yes. The agent verifies a caller’s identity before any patient information is shared, stays within booking and billing tasks, and every action is audit-logged. It runs under a Business Associate Agreement before any real patient data is handled.
Chronic care management
Which care-management programs does Nem support?
Nem runs all six Medicare care-management programs, CCM, RPM, PCM, RTM, BHI and TCM, on one unified care-plan engine, rather than a separate tool per program. Each program is a configuration layer on the same engine, so workflows and reporting stay consistent.
Does Nem track the time and documentation needed to bill?
Yes. Nem logs care-management time per named staff member and captures the care plan and patient consent, producing the audit-ready documentation that supports the claim, which is the operational burden that otherwise stops clinics from capturing this recurring Medicare revenue.
Does it enforce Medicare concurrency rules?
Yes. The engine encodes the program-compatibility rules (for example, CCM and PCM cannot both be billed for the same patient in the same month) so you do not double-count time or trigger denials when a patient is in more than one program.
Can Nem capture care calls from our phone system?
In pilot, for Zoom Phone only. Nem transcribes and summarises recorded care calls, matches each to the patient, and drafts a time entry and care plan updates. Staff review every call before anything is written to the chart or counted as care time. It is included in Care Management at no separate price.
Security & HIPAA
Is Nem HIPAA compliant?
Nem is built to the HIPAA Security Rule safeguards: audit logging, encryption in transit and at rest, least-privilege role-based access, two-factor authentication (available; required for all users before patient data goes live) and PHI minimization. Note that HIPAA has no official certification; Nem signs a Business Associate Agreement before any real patient data is processed.
Will you sign a BAA?
Yes. A signed Business Associate Agreement is available at onboarding and is required before any protected health information is handled. During the current demo phase Nem uses synthetic data only.
Is Nem SOC 2 certified?
Not yet. We have implemented access control, audit logging and encryption, and are building the remaining SOC 2 controls, including change management. SOC 2 is planned; we will publish the report once an examination is completed; we do not claim a certification we do not yet hold.
How is my data protected?
Data is encrypted in transit (TLS) and at rest, access is role-based and least-privilege, and every create, update, delete and export is audit-logged. Nem is designed to keep protected health information out of email, URLs, application logs and analytics, with automated checks on email and analytics.
Pricing
How much does Nem cost?
Nem is priced per location: Starter is $299, Growth is $899 and Professional is $1,999 per month, plus a custom Enterprise tier. Providers and staff are included up to your plan limit. The AI Voice Agent is an add-on at $249, $499 or $899 per month for 300, 750 or 1,500 included minutes, with additional minutes at $0.85, $0.70 and $0.60. Care Management is a separate subscription priced on billed patients rather than enrolled patients, at $6.00 per billed patient per month with a $300 monthly minimum: $300 at 50 billed, $900 at 150, $1,800 at 300, and custom above 300 with a $4.00 per billed patient per month floor. The chatbot is not available yet.
Is pricing per provider?
No. Nem charges per location, not per provider or per seat. Growing your front-desk and support team does not inflate the bill, which avoids the per-seat pricing that makes many practice management systems expensive as you grow.
Is there a free trial?
No. Self-serve sign-up is not open today, so there is no self-signup trial to start. New clinics are onboarded personally: you book a demo, and your subscription and billing start date are agreed with our team before any charge occurs.
Google Calendar
Does Nem sync with Google Calendar?
Yes. An Owner or Admin connects one Google Calendar for the clinic under Settings, Connections and integrations. Appointments booked in Nem appear on the calendar, and, with two-way sync, your existing busy time on that calendar stops being offered as an open slot in Nem.
What does an appointment look like on my Google Calendar?
A title such as "Appointment - Jane D. · A7K2Q · NemPMS": first name and last initial, a random appointment code, and whether it is a practice visit or a care management contact. Full names appear only for an account your clinic has attested is covered by a signed Business Associate Agreement, never on a personal Gmail account.
Can I book a Nem appointment by creating an event in Google Calendar?
Yes, with two-way sync on. Add NemPMS or NemCMS to the event title and Nem creates the appointment; add the Patient ID (8 characters, starting with PA) to link it automatically, or Nem holds it under Pending Appointments for staff to match.
Does Nem read the titles of my other Google Calendar events?
By default, only to check for a NemPMS or NemCMS tag; an untagged event’s title is never stored, only its busy time. An optional "all events" import mode stores the title of every timed event so it can be matched to a patient.
Does a Google Calendar entry count toward billable care management minutes?
No. A care management calendar event never adds billable minutes on its own. Only documented work, such as a recorded call or logged care-plan time, counts toward billable minutes.
Onboarding & migration
Can I migrate my existing patient and billing data?
Yes. Nem supports importing your patients, staff and procedure catalog from CSV files. Imports are insert-only and validated with a dry-run preview first, so a migration adds your records without overwriting or deleting anything.
How long does it take to get started?
You can set up the Voice Agent in minutes and migrate patients and billing on day one. Because Nem is one platform rather than several integrations, there is far less to configure than stitching separate phone, scheduling and billing tools together.
Homepage
What does Nem bring together?
Nem brings patient records, scheduling, billing, chronic care management and phone workflows together in one platform, in place of the separate phone service, scheduling tool and billing system most clinics run today.
Can callers still reach a person?
Yes. The Voice Agent is scope-limited to front-desk tasks, and anything outside that scope, including any clinical question, is routed to your staff based on the rules you set.
How do we start?
You start with a demo. Self-serve sign-up is not open today, so new clinics are onboarded personally: you book a demo, and your subscription and billing start date are agreed with our team before any charge occurs. A signed Business Associate Agreement is required before any protected health information is handled, and onboarding follows from there.
Is Nem Assistant available?
Not yet. Nem Assistant is a patient-facing chatbot still in build, and it is not included on any current plan.
